Position summary: This position is an office managers position within the Facilities Management department who provides managerial support and guidance to facilities technicians, building services custodians, coordinates all internal work orders, assignments, workflow, vendor support coordination, invoice processing, budget tracking, and general point of contact for the Facilities Management department.Â
General purpose: The purpose of this position is to provide departmental budget and cost management support, quality control tracking and reporting, general support to the Facilities Management staff regarding day to day operations, service and support to the Associate Vice President of Facilities and Director of Facilities Operations.
Major role functions:
Receives and processes work order through electronic or oral communications from MICA campus community
Prioritize and assign work orders to correct technicians by trade for completion
Monitoring Building Automations Systems (BAS) (Trane Ensemble, Johnson Controls Metasys) for any irregularities in campus buildings. Make appropriate notifications to MICA technicians for corrective actions
Provides efficient and courteous assistance with strong emphasis on customer service to the MICA campus community
Coordinates any emergency facilities management responses during normal business hours
Entry and maintenance of data into the Facilities Management database
Tracking monitoring and closing work order requests and completions
Processing and tracking of invoices for vendor payment, assuring proper account codes for account budget accuracy
Monitoring and responding to general Facilities Management email account along with own MICA email account
Coordination of vendor and contractor relations with department managers and directors
Coordination of campus communication with Facilities Management Staff
Assist with providing vendor campus access.
Completion of weekly, monthly and annual reports as requested
Maintenance of credit cards for AVP and Director of Facilities Operations
Process key order request with Locksmith and Campus Safety
Procures office supplies and Facilities Management work order supplies as necessary
Assists (as needed) Facilities Management with sorting of mail as it arrives from Postal and Print
Performance of other assignments and duties as directed by the Director of Facilities Operations and the Associate Vice President of Facilities.

Associateâs Degree in related field with 5 years of experience in Office Management OR Bachelorâs degree in a related field with 3 years of experience in Office Management.
3 years of experience in Facilities Management including vendor and contractor relations and managing Mechanical, Electrical and Plumbing (MEP) administration.
Budget Management experience.
Proficient in all applicable federal (i.e. OSHA, EPA, etc.) state, and local safety and health regulations.
Proficient in the use of Microsoft Office and Google applications.
Valued, but not required qualifications:
Proficient with Workday software package
Prior experience working in a college campus environment
Proficiency with Building Automations Systems (BAS) (Trane Ensemble, Johnson Controls Metasys).
Proficient in Facilities Management computerized maintenance management system
Project Management or Project Engineering experience

Conditions of Employment:
Must have and maintain a valid driverâs license and satisfactory driving record.
Candidate must successfully complete a full background check
Works primarily indoors, but occasionally outdoors year-round
Must be available to work different shifts and weekends as needed
Ability to work in various climatic conditions and around materials typically used in the making of works of art (e.g., clay, ceramics dust, fibers, wood shop areas, printmaking, painting, sculpture, drawing mediums, etc.)
