Reporting directly to the Director of Public Safety, along with the CUNY Title Overview, the Administrative Coordinator will be responsible for the following duties:
Coordinate the day to day operations of the office, which includes but is not limited to: parking decal sales; processing/billing of parking violations; maintaining and updating key distribution database; overseeing purchasing/requisitions for the Locksmith and Public Safety Departments
Oversee special projects within the department
Update and maintain efficient office procedures and methods
Liaise with external and internal constituents on behalf of the department
Respond to constituent concerns and triage appropriately as needed
Alongside the Director, create and distribute, written and digital communication pertaining to departmental updates, policies etc
Process invoices for various contractors and contract programs
Conduct inventory and assist with audit reconciliation of parking decal sales
Organize and Coordinate Public Safety training's on and off campus for the department
Bachelor's Degree required.
-2 years customer service experience in higher education settings
-Experience utilizing people soft
-Proficient with Microsoft word, excel, access and power-point
-Familiarity with financial software programs such as: Financial Edge
-Flexible schedule to include working nights and weekends as needed
-Able to adapt to a fast-paced work environment
-Capable of multi-tasking
CUNY TITLE OVERVIEW
Supports projects, initiatives, and activities that impact an academic or administrative department.
Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.
