<p>This position is covered by the AFSCME Clerical Union. Union/Fair share deductions may be made.</p><p>This position provides technical and administrative support to FM Locksmith Services and FM Technical Services in relation to work order processing and key management. In addition, this position is responsible for developing, delivering, and maintaining training-related materials for specific programs, policies, processes and procedures. Lastly, this position provides customer assistance, maintains databases, performs account updates and completes independent projects as assigned.<br />Major Responsibilities<br /><br /><strong>30% Work Order Processing*</strong> - Enter work orders for FM Locksmith Services and FM Technical Services. Close and bill materials and/or keys to completed work orders. Ensure work orders are completed on time. Track work order financial data. Serve as a first-tier resource for customer calls concerning emergency services, order status, and online request forms. Respond to general key inquiries.<br /><br /><strong>25% Key Management/Auditing/Reconciliation* </strong>- Enter new key and lock information into database. Coordinate and plan departmental key audits with appointed Department Access Coordinators on campus. Reconcile University key records with departmental key records to ensure accuracy. Implement key audits and evaluate the results to provide departments with proper key security solutions. Destroy and recycle unused keys.<br /><br /><strong>15% Enterprise Key Management System*</strong>- Develop and oversee administrative activities for enterprise key management system. Implement policies and procedures. Monitor daily activity, enroll new users and input data into the system. Evaluate and provide Department Access Coordinator’s with alarm activity. Serve as liaison between FM and KeyTrak Inc. concerning issues, system installations, software renewal, and system relocations. Audit key boxes annually.<br /><br /><strong>10% Training* </strong>– Design, deliver, maintain and evaluate a variety of training informational programs related to Department Access Coordinator roles/responsibilities on a regular basis. Maintain authorized Department Access Coordinator database.<br /><br /><strong>10% General Office Administration</strong> - Performs general office duties such as purchasing, record keeping, receiving and issuing parts from inventory, filing, faxing, copying, as well as voicemail/phone support. Coordinates key deliveries with Facilities Management districts. Notifies DAC upon completion of key orders and delivery of keys. Assign and monitor student projects as needed. Reconcile departmental purchasing card statements. Bill alarm accounts.<br /><br /><strong>5% Inventory*</strong>- Continuously maintain FM’s inventory software for Locksmith Services. Audit Locksmith’s inventory quarterly.<br /><br /><strong>5% Record Administration and Retention</strong> - Maintain the central key record database for all University departments. Maintain Grand Master and Card Reader override key waiver forms. <br /> </p><p>Salary Range: $35,464.00 - $59,633.60</p>
<p>Minimum Qualifications:</p><ul><li>High School/GED and five years related experience to include project management.</li><li>Coursework in a related field may be substituted for some years of experience.</li></ul><p>Preferred Qualifications:</p><ul><li>One year of program planning or related administrative experience, or a combination of education and relevant administrative experience to total five years</li></ul><p> </p><p>Demonstrated Knowledge, Skills, & Abilities:</p><p>Troubleshooting skills and abilities.</p><p>Strong customer service skills.</p><p>Strong communication skills, both verbal and written.</p><p>Strong personal computer skills including data entry and data processing.</p><p>Ability to multi-task and work independently</p><p>Ability to maintain confidential information.</p>
